Leavers lose access on time. You can prove it.
CrewWorks tracks every joiner, mover and leaver, the systems they can reach and the equipment they hold, in one record, on your own server.
Built by IT-Feelix in South Africa. Priced in rand. Runs on your own server.

When someone leaves, who checks that everything was switched off?
People join, change teams and leave all year. Each change needs access granted or removed in several systems, a laptop issued or collected, and someone to confirm it happened. In most organisations that lives in emails, spreadsheets and memory.
The risk is quiet. A former employee still has access to patient or client data. A laptop nobody can trace. An auditor asks for proof and the answer is "we think so".
What CrewWorks does
One process for every joiner, mover and leaver
HR starts the process. The line manager chooses what the person needs. IT and each system owner confirm their part. Nothing is lost between emails.
Access removed on time, with surety
Every system a leaver holds gets its own removal task with a deadline. By default all access is due to be cancelled by 16:00 on the last working day, and your administrator can set a later time that suits your organisation. System owners who are slow are reminded and escalated. A leaver cannot be closed until every system has a recorded answer, showing who did it and when.
Equipment you can trace
Every laptop, phone and device has an asset number, a serial number and a named holder. Issue and return are recorded, receipts are signed, and a stocktake takes minutes with a scanner.
The right access from day one
Set the standard systems and equipment for each position once. New joiners start with what their role needs, and the compulsory systems cannot be switched off by anyone but an administrator.
An organogram that draws itself
Give each person a line manager once and CrewWorks draws the organogram for you. There is no chart to keep up to date by hand. When a manager changes, the chart, the approvals and the team change with it. See who reports to whom by company, department or branch, focus on one person to see the route up to the top, and print any view at a readable size. Each person's level can be set from their place in the chart: Level 1 is the top and every step down adds one, with a preview before anything is saved. HR can drag a person to a new manager, and a move starts the mover process, so their access follows them. When a manager with a team moves, CrewWorks asks whether the team moves with them or stays. If they stay, a clearly marked VACANT box is left in that place until someone is put there, so the chart never quietly rearranges itself.
Simple set-up
Set up the organogram in an afternoon, not a project. Download one spreadsheet, already filled in from the people you have, with drop-down lists for department, position, level and line manager. Correct it, load it back, and review every change before anything is saved. A data check then lists anyone still missing required details and suggests the answer from the organogram, with the reason, so you fill gaps in a click. Nothing changes until you press Apply.
Evidence for your auditor
A tamper-evident audit log records who approved, who granted, who removed and when. The records support the evidence auditors ask for under ISO 27001 access and leaver controls, and the safeguards expected under POPIA.
Built for a group of companies
Several companies, offices and departments in one installation, with each person seeing only what they should. Every company has its own organogram, and charts of different companies are never merged: a line manager must work at the same company as their team, and moving a person to another company is always a recorded mover process. Line managers see their own team. System owners see only their own systems.

How it works
- 1
Set up once
Load your people from one spreadsheet. The organogram draws itself from their line managers.
- 2
HR starts it
A joiner, a move or a leaver is started in a few clicks.
- 3
The line manager decides
They choose the systems and equipment, and confirm.
- 4
IT and system owners act
Each gets their own task with a deadline and a reminder.
- 5
It closes with proof
Nothing closes until every item has an answer, and the whole trail is kept.
Made for South African groups with 50 to 500 people
Healthcare practice groups, financial services firms, and the companies that supply them. Organisations with a small IT team, several sites or companies, and a client, auditor or regulator who asks who has access to what.

Questions and answers
How do you know access was really removed?
Every system has a named person, a deadline and a time-stamped answer. Overdue items are reminded and escalated, and the leaver cannot be closed until each one is answered.
Can we change the time access is cancelled?
Yes. The default is 16:00 on the last working day. Your administrator can set a later time in the admin portal.
Do we need Microsoft Entra or another identity tool?
No. CrewWorks works for systems with no connector too, which is most small and older systems. Connection to Entra is planned as an optional add-on.
Where does it run, and where is our data kept?
On your own Windows server, on your own network, in its own database. No staff data is sent to us.
How is this different from our HR system?
An HR system holds the staff record. CrewWorks runs the access, approval and equipment side of joining, moving and leaving, and keeps the proof.
Can several companies share one installation?
Yes. One install can hold several companies, offices and departments, with each person seeing only their own area.
How is the organogram set up?
You do not draw it. Download the spreadsheet CrewWorks prepares from your people, use the drop-down lists to fill in department, position, level and line manager, and load it back. You see every change before it is saved. CrewWorks then draws the organogram from the line managers, and a data check suggests answers for anything missing.
Does each company have its own organogram?
Yes. Every company has its own chart and its own levels, and a line manager must work at the same company as the people who report to them. A person changes company only through a mover process, which sets the new company and the new line manager together.
What happens to a team when its manager moves?
CrewWorks asks. The team can move with the manager, or stay. If they stay, a VACANT box is left in the manager's place on the chart and the team reports to it until someone is put there.
Does the organogram stay up to date?
Yes, because it is drawn from each person's line manager. Change the manager and the chart changes. If someone really moves team or company, HR drags them to their new manager and a mover process starts so their access follows them.
How long does it take to start?
A typical set-up is a short onboarding: load your people from the spreadsheet, review the data check, set up positions and compulsory systems, and train HR and IT. The exact time depends on your size. We confirm it in the walk-through.
What does it cost?
See the pricing section. We price in rand, with a once-off set-up fee (non-refundable, paid in three parts as the work progresses) and a monthly or annual plan.
Who supports it?
IT-Feelix. Business-hours support is included, and out-of-hours support is available as an option.
